How to Share Searches and Lists with Your Team in xNova

xNova makes it easy to collaborate with colleagues or partners by sharing both saved searches and company lists directly from the platform. This allows your entire team to work with the same data, in real time—without sending spreadsheets or worrying about outdated versions.

📌 Sharing a Saved Search

When you save a search, you can immediately choose to share it with your team.

Option 1: Share a search when creating it

  1. Apply your filters and click “Save Search”.

  2. Give your search a name and optionally add a description.

  3. Under these fields, you’ll find the option “Share with”.

  4. Enter the email address of the person you want to share it with and press Enter to save the contact.

  5. Click Save to finish.

✅ The contact will now have access to this exact search and its results.

Option 2: Share an existing search from My Searches

  1. Go to My Searches in the left-hand menu.

  2. Click the the three dots icon next to the search you want to share.

  3. Select “Edit search”. When the pop-up opens, you will find the “Share with” filed, type the colleague’s email address and press Enter.

  4. Click Save.

⚠️ Important: Shared searches cannot be modified or duplicated by the person receiving them. They can only view the search and results as defined by the original creator.


🗂️ Sharing a Company List

You can also share any company list (e.g. importers, competitors) saved in your My Lists section.

Step-by-step:

  1. Go to My Lists in the left-hand menu.

  2. Click the three dots in the last column of the list you want to share to open the option menu. Click “Share”.

  3. Enter your colleague’s email address and choose the sharing mode:

👁️ Read Only:

  • The recipient can view the list but cannot make any changes.

  • If they want to make edits, they can duplicate the list to create their own version.

  • This duplicated list can be modified freely, without affecting the original.

✏️ Read and write:

  • The recipient can add or remove companies from the list.

  • They can also edit notes or comments within the list.

  • All changes will be visible to everyone sharing the list.

  • Columns created in your lists, are shared: hidden if they were created in other lists, visible if they were created in that specific list.

Don't delete columns that have been shared with the lists. It is advised to hide them by right-clicking the column name and selecting "Hide column."

🔄 Tip: Use Edit Mode when working together on prospecting tasks. Use View Mode when you want to share insights without risk of unintentional edits.


🧠 Best Practices for Collaboration

  • Use clear names and descriptions when saving searches or lists, so everyone knows the purpose.

  • Don't delete columns that have been shared with the lists. It is advised to hide them by right-clicking the column name and selecting "Hide column."

  • Before editing shared content, clarify whether your team is working from the same version or using personal copies.

  • For high-stakes work (like pre-negotiation lists), we recommend sharing in View Mode to avoid unwanted changes.
